How Do I Set Up an Email Signature?

A professional email signature is a small detail that makes a big difference. It instantly adds credibility and makes it easy for people to contact you.


A good email signature typically includes:

  • Your full name and job title
  • Your business name
  • Phone number
  • Website address
  • Optionally: your business logo and social media links

Setting it up in Outlook: Go to File → Options → Mail → Signatures. Create a new signature, paste in your details, and set it as the default for new emails and replies.


Setting it up in Gmail (if using Gmail to access your email): Go to Settings (the gear icon) → See

all settings → General → Signature. Scroll down, create your signature, and save.

On your phone: Most email apps let you set a signature under Settings → your email account → Signature.
